Use a position-based training matrix to assign mandatory courses to every role automatically. Run timed online exams with randomised questions pulled from a question bank, graded automatically by the system. Employees who pass instantly receive a verifiable certificate, while team managers see compliance gaps in real time. All of it comes with a monthly subscription, with no separate LMS licence, per-user fee, or setup charge.
An ERP (Logo, Mikro, SAP, Uyumsoft) can, at best, hold a line saying 'this employee took this course.' It cannot enforce a mandatory-training matrix per role, run timed online exams, pull randomised questions from a question bank and grade them automatically, issue verifiable certificates to those who pass, or reveal compliance gaps across a team. To do all that, you buy a separate LMS licence, pay per user, and then wrestle to map it back to your ERP's personnel and position data. The Training & LMS module closes this gap within your subscription: it draws on ERP personnel and position data, while course delivery, exams, and certificates live in the portal.
Attach mandatory and optional courses to every organisational position. Flag them as mandatory (is_mandatory), set priority, and define an effective date range (start and end of validity). Any employee assigned to a position automatically inherits its courses; with bulk assignment, you can load them onto an entire team in a single move.
Define whether a course is one-off or periodic (every N months, e.g. every 6 months, annually, or every 2 years). When an OHS, quality, or regulatory course expires, the system generates a renewal record; the certificate's expiry date (certificate_expiry) is tracked, so no one is left holding an out-of-date qualification.
Categorised training programmes, sessions, and course materials. Each programme has its own question bank and exam attached. From the 'My Training' screen, employees see their assigned, in-progress, and completed courses, their history, and their certificates all in one place.
Build question banks per programme. Multiple-choice, true/false, and multi-select question types; points and difficulty level (easy/medium/hard) per question. Each exam draws the requested number of questions from the bank's active questions, and the system checks whether the bank holds enough questions.
A per-minute time limit, a server-side remaining-time counter, and automatic locking when time runs out (timed_out). Question and answer-option order can be randomised, so everyone sits the exam in a different sequence. A maximum number of attempts is configurable, and each attempt is recorded separately.
When an exam ends, the system calculates the points earned versus total, derives the percentage score, and compares it against the pass threshold (passing_score) to automatically decide pass or fail. Correct answers can optionally be shown. Pass rate and average-score analytics per exam are made available to management.
Employees who pass are automatically issued a certificate with a unique certificate number (certificate_number), downloadable or viewable as a PDF. Templates can be customised as A4/Letter, portrait or landscape. A public verification screen confirms authenticity when a certificate number is entered, eliminating the risk of forged certificates.
From the 'Team Training' screen, a manager sees each employee's assigned, completed, and missing mandatory courses along with their compliance percentage. They can manually assign courses to anyone with a gap, or load a position's mandatory courses in a single click. Who has fallen behind, and when, is clear at a glance.
Every exam attempt is logged with start and end time, time spent, IP address, and browser details. In-progress, completed, cancelled, and timed-out attempts are held in distinct statuses. For audit, OHS, and regulatory reviews, the question of 'who, when, from where, and with what score' is answered with documentation.
Prepare training programmes and question banks, attach mandatory courses to each position, and define whether each is one-off or periodic and what the pass threshold will be.
The moment an employee is assigned a position, they inherit its mandatory courses (matrix-driven assignment); managers can also assign manually or in bulk by position where needed. Courses due for renewal are re-assigned automatically.
The employee starts the exam from 'My Training'. The system pulls randomised questions from the bank, runs the timed exam, collects the answers, and locks automatically if time runs out.
When the attempt ends, the percentage score is calculated and pass or fail is determined against the threshold. Employees who pass receive a verifiable certificate with a unique number, generated as a PDF.
Managers monitor gaps from the team compliance dashboard; when a certificate expires, the system generates a renewal. Results flow into the personnel file and into OHS/audit reports.
Training & LMS is largely a pure intranet module; an ERP has no concept of courses, exams, or certificates. The only thing it needs from the ERP is master data: who is an employee, and in which position. The matrix is built on that position data; exam and certificate results are generated in the portal and, optionally, summarised back into the ERP training record.
Employees and organisational positions are mirrored read-only from your ERP/HR module (SAP, Uyumsoft). The training matrix attaches directly to these positions, so a new hire automatically inherits their mandatory courses the moment their position is assigned. The ERP remains the single source of truth, and you never maintain a duplicate employee list on the training side.
For companies with no ERP, or where position data lives outside the ERP, personnel and positions are managed via Excel import or defined directly in the portal. The module stands on its own without any ERP dependency; the training, exam, and certification cycle works exactly the same.
When an employee passes an exam and earns a certificate, the completion date, score, and certificate number appear in the portal's HR/personnel layer, and can be summarised back into the ERP training record if required. For audits and OHS reports, 'who, when, and with what score' comes from a single place.
